“Lots of people wrote to us but I do not know where they came from.” It is the sentence we hear most about message campaigns. And it is fixable.
Why the trail disappears
When someone taps a click-to-WhatsApp ad they leave Facebook or Instagram and enter another app. If you prepared nothing, all you see in the chat is a new message, with no trace of the ad that brought it.
Three ways to recover the origin
1. A different pre-filled message per ad
The simplest option, and it works even without the API. Each ad opens the chat with slightly different text (“Hi, I saw the 2-night plan”). That already tells you the campaign, although customers sometimes delete it.
2. Referral parameter with the API
Click-to-WhatsApp ads can carry a hidden parameter that reaches your system alongside the first message. Campaign, ad set and ad land there, independent of what the customer types. This is the correct way and it needs WhatsApp Business API.
3. Conversion events sent back to Meta
When you mark a conversation as “quoted” or “booked”, that signal goes back to Meta through the Conversions API. The algorithm then learns to find people who book, not people who write and vanish.
The report that actually helps
A useful monthly report has five columns per ad, not twenty:
- Conversations started.
- Cost per conversation.
- Conversations that reached a quote.
- Confirmed bookings.
- Attributed revenue and ROAS.
With that you can decide: switch off what brings tyre-kickers, add budget to what brings guests.
How to set it up in practice
- A different message per ad set. Even with the API, it is your safety net.
- Inbox labels that match the campaigns. If the campaign is “Sales · 2 nights”, name the label the same. Obvious, and almost nobody does it.
- A status for each stage: new, quoted, booked, lost. Without it there is no closing ratio.
- Record the booking value. Without the amount there is no ROAS, only counts.
- A 15-minute weekly review. Which ad brought conversations, which closed, what gets switched off.
The mistake of looking only at cost per conversation
An ad with conversations at COP $2,000 looks better than one at $6,000. But if the first closes 3 % and the second 25 %, the second brings guests four times cheaper. What matters is cost per booking, not per message.
That is why the ad that asks “are you interested?” produces pretty numbers and few bookings: it attracts curiosity. The ad that states price and dates filters earlier and brings people who are ready.
Two details that change the result
Response time is part of the campaign. Going from two hours to two minutes can double closing without touching the budget.
Label from day one. Start labelling three months late and you lost three months of algorithm learning.
