WhatsApp Business app or API: when it is worth switching

The free app takes you only so far. The five signs your hotel has outgrown it, and what you gain by moving to the API.

The WhatsApp Business app is free and enough for many businesses. The problem shows up when the hotel grows and the phone is still one.

What the free app does well

The five signs you have outgrown it

  1. Several people, one phone. Front desk, sales and the owner writing from the same handset, stepping on each other.
  2. You do not know what happened to a quote. No statuses, no follow-up: the information lives in the head of whoever replied.
  3. Instagram and Facebook messages live elsewhere. Three separate inboxes, no shared history.
  4. Someone leaves and the history leaves with them. The number is on their phone, not with the hotel.

  1. Verified Business Manager. Company documents and business verification. This is the slow part: days to a couple of weeks.
  2. Choose the number. The current one (losing the app) or a new one. If the current one is on a personal phone, a new number with call forwarding for a month is usually better.
  3. Move the history. You can export chats from the app, but history does not transfer fully to the API: keep a copy first.
  4. Connect the platform. Users, labels, statuses and quick replies go here.
  5. Submit templates. Confirmation, reminder and follow-up. Minutes to a day.
  6. Train the team. Half a day. Without it, the tool gets misused for weeks.
Month one gets measured: response time, conversations and closings.

What to watch in month one

  • First response time. It should drop from hours to minutes.
  • Unanswered conversations. Should approach zero.
  • Quotes sent and closed. For the first time this is data, not intuition.
  • Number quality in Business Manager. If it drops, something is being sent wrong.

When NOT to migrate

If you get few conversations and one person answers them on time, the API adds cost without solving anything. If your problem is that no messages arrive, what you need is ads or a Google listing, not an API.
