We audit the WhatsApp of hotels and tour operators every month. These eight mistakes repeat almost every time, and all of them can be fixed in a week.
1. Replying “yes, we have availability” and waiting
The most common reply and the one that kills the most sales. It puts the ball back in the customer’s court. The version that works includes price, what is included and a question: “Yes, for the 14th I have the double with a view, COP $480,000 per night with breakfast. Shall I hold it?”
2. Sending a price with no context
A bare number gets compared with the competition and loses. Price always travels with what it includes: breakfast, transfer, pool, air conditioning, wifi, parking.
3. Answering only during office hours
Most travel messages arrive at night and on Sundays, when people plan. If nobody replies then and there is no automation, the booking goes elsewhere.
4. No follow-up
You quote and wait. The customer gets distracted, compares, and nobody writes again. Two messages — at 24 hours and at three days — recover more bookings than any promotion.
5. Using someone’s personal phone
When that person goes on holiday or resigns, the history, the contacts and the open conversations leave with them. The number and the chats must belong to the hotel.
6. Three separate inboxes
WhatsApp on one phone, Instagram on another, Facebook on the computer. Nobody knows what was answered. Everything should land in one place.
7. No written confirmation
Bookings closed verbally, with no confirmation message stating date, rate and policy. It is the number one cause of arguments at reception.
8. Blasting promotions to the whole list
Besides being expensive, it raises blocks and Meta lowers your number quality, which limits how many messages you can send. Always segment: people who stayed, people who quoted and did not close, people who asked about a specific date.
