How to reply fast without living on your phone

Welcome menu, saved replies and three shifts a day: the system that cuts response time without hiring anyone.

Replying fast is the variable that moves bookings the most and the one that exhausts teams the most. The answer is not being always available: it is preparing 80 % of what you are going to say in advance.

First, measure where you are

For one week write down two numbers: how long your first reply takes and how many messages go unanswered. The result is usually a surprise: averages of two or three hours and 30 % with no reply at all.

Layers 1 and 2: auto-reply in seconds and a saved reply with the price.

Layer 1: the auto-reply (seconds)

A welcome message that goes out in four seconds with three options: availability and prices, how to get there, and talk to a person. It replaces nobody: it buys time and filters.

Layer 2: saved replies (one tap)

Ten texts that cover almost everything: seasonal rates, what is included, payment methods, cancellation policy, how to get there, pets, children, parking, check-in and check-out, and the closing message asking for booking details. Written once, written well.

Layer 3: shifts (the person)

Three fixed blocks a day for what needs judgement: morning, midday and late afternoon. Outside those blocks, the team is not glued to the phone.

Rules that hold the system together

  • Never reply just “yes, we have availability”. Reply with price, what is included and a closing question.
  • One place only. If WhatsApp, Instagram and Facebook live in separate inboxes, something gets lost. One inbox.
  • A status on every conversation. New, quoted, waiting, booked, lost. Without statuses there is no follow-up.
  • Follow-up is where the money is. A message 48 hours after an unanswered quote recovers more bookings than any promotion.

The ten saved replies that solve 80 %

Write them once, with the price and a question at the end so the conversation keeps moving:

  1. Availability and seasonal rate.
  2. What the stay includes (and what it does not).
  3. Payment methods and deposit.
  4. Cancellation policy.
  5. How to get here, with location and travel times.
  6. Airport or terminal transfer, with price.
  7. Pets and children.
  8. Check-in, check-out and luggage.
  9. Tours and plans, with prices.
  10. Closing: “Shall I hold it? I need full name, ID and dates.”

Golden rule: no reply ends without a question. “Yes, we have availability” closes the conversation; “Yes, for the 14th, COP $480,000 per night with breakfast. Shall I hold it?” moves it forward.

Follow-up, where the money is

  • After 24 hours: “Did you get a chance to look at it? I still have the room.”
  • After 3 days: an alternative (other dates, another room type, another price).
  • After 7 days: a friendly close. Mark as lost and keep it for next season.

What to measure weekly

Four numbers in five minutes: new conversations, first response time, quotes sent and bookings closed. With those four you know whether the problem is traffic, speed, offer or closing. Without them, everything is opinion.
