What WhatsApp Business API really costs a hotel in Colombia

The real price in 2026: what Meta charges, what the platform charges, and how many conversations it takes to pay for itself.

The first question almost every hotel asks us is the same: how much is this per month? The short answer is that there are three separate costs, and almost nobody explains them apart. Here they are.

1. What Meta charges per conversation

WhatsApp Business API is not billed per message, it is billed per 24-hour conversation. Meta splits conversations into categories and the price changes depending on who starts it and why:

  • Service (started by the customer): free. If a guest writes and you reply within the 24-hour window, you pay nothing.
  • Marketing (you start it with a promotion): the most expensive one, and the one to watch.
  • Utility (confirmations, reminders, invoices): far cheaper than marketing.
  • Authentication (verification codes): rarely applies in hospitality.

For a hotel with 300 conversations a month that answers nearly all of them (service category), the Meta bill sits between nothing and a few thousand pesos. The cost only spikes with mass marketing sends.

The platform is what you pay monthly: inbox, labels and statuses.

2. What the platform charges

The API is a pipe: you need software on top to see chats, split them across the team and keep the history. We work with Superchat, but the criteria apply to any of them. Here you pay a monthly subscription based on how many users (people on your team) you need.

This is the fixed, predictable part of the setup: what it costs to have a shared inbox, labels, quick replies and follow-up.

The setup: verified number, templates and flows, done once.

3. What it costs to set it up properly

Verifying the number, connecting the Business Manager, writing and getting templates approved, building the welcome menu, defining pipeline stages and training the team. It is one-off work, and it decides whether the tool works or becomes another app nobody opens.

When does it pay for itself?

The maths we run with every hotel is simple. If your average booking is COP $600,000 and you lose three bookings a month to slow replies, you are leaving $1,800,000 on the table. Most small hotels recover the investment in the first or second month just by not losing conversations.

The signs that you already need it:

  • More than 20 conversations a day on a single phone.
  • Two or more people sharing the same handset.
  • Messages left unanswered overnight.
  • Nobody knows how many quotes went out last week.

A real example

A 22-room hotel in Santa Marta, mid season. Around 380 conversations a month: 340 started by the guest (free on Meta), 40 confirmation and reminder templates (utility category, cents each). That month’s Meta bill does not reach COP $30,000.

The platform subscription with three users costs considerably more than that, and that is the real monthly cost. The setup is paid once. With an average booking of COP $480,000, the system only has to save two bookings a month to be in the black.

The costs nobody mentions

  • Your team’s time in the first two weeks. There is a learning curve: labels, statuses, who gets assigned what.
  • Writing good saved replies. If you copy what you already send from the phone, you inherit the mistakes.
  • Keeping the catalogue current. Old prices on WhatsApp cause more problems than having no catalogue.
  • A new number, if the current one lives on a personal phone. Migrating is possible, but decide first: the number that moves to the API stops working in the app.

How to lower the bill without losing results

Answer within 24 hours. Every conversation you reply to in time is free for you. Templates cost money; replying does not.

Use utility instead of marketing whenever you can. A booking confirmation is utility. “We have a promotion” is marketing and costs several times more.

Do not blast your list. Besides being expensive, it raises blocks and Meta lowers your number’s quality rating, which limits how many messages you can send per day.

Segment. Writing to 200 people who already stayed with you beats 2,000 who do not know you, and costs a tenth.

The monthly review is where the bill drops without losing replies.

What you should not be paying for

Be wary of anyone charging for “the verified number” as if it were a product, of anyone selling unlimited messages (they do not exist: Meta bills per conversation), and of anyone who will not show you the console where the chats live. The WhatsApp account is yours, not the agency’s.
